Office cleaning: build the scope around how the space is used

An office-cleaning proposal should describe the areas, tasks and frequency required by the workplace. Floor area alone does not explain the work created by washrooms, kitchens, meeting rooms or changing occupancy.

Understand the assumptions behind a cleaning estimate before comparing quotes.

Start with the outcome expected at the beginning of each workday. Then identify the tasks needed to maintain it and the times when cleaners can safely work.

Divide the space into zones

List work areas, meeting rooms, reception, washrooms, kitchen or break areas and circulation routes. Record the relevant flooring and accessible surfaces in each zone.

Decide what happens on personal desks. Cleaning an empty desktop is different from handling papers or equipment. Define a clear-desk policy and exclusions rather than leaving the cleaner to decide what may be moved.

Assign frequency and supplies

Some tasks may be needed on each visit; others belong on a rotation. Define bin emptying, washroom consumables, floors, touchpoints and periodic detail work separately.

Clarify who supplies paper products, soap, liners and cleaning materials. Restocking a dispenser and purchasing the stock are different responsibilities.

Plan security and access

Agree building entry, alarm handling, key control and access to restricted areas. Provide a process for reporting damage, a leak or a room that cannot be entered. Confidential papers and electronic devices need explicit boundaries.

Compare proposals

Ask for the staffing assumptions, task schedule, supervision, replacement arrangements and issue-resolution process. Confirm whether quoted labour is per person or per team and whether the price includes taxes and consumables.
